Optimization and new development of macros, Word templates and CRM interface

Georg Reisch GmbH & Co KG (Bad Saulgau) implements construction projects on a large scale - and also relies on efficient and smooth processes in administration. In the past, document creation and the CRM connection were sometimes time-consuming and not very flexible. For this reason, eWorks from Frankfurt am Main - specializing in Word and VBA - was commissioned to develop an individually tailored Word add-in.

The previous solution had evolved over the years and served its purpose for a long time. However, with growing complexity and an increasing need for customization, the distributed macros and numerous templates reached their limits - maintenance and further development became increasingly time-consuming. In order to make document creation future-proof and more efficient, the company opted for a central solution: a customized Word add-in that bundles all macro functions and can be integrated into various Word templates. On top of this, two MS Word templates were newly developed and optimized - in combination, the perfect solution for companies that do not want to have countless Word templates created.

The connection to the CRM system also proved to be in need of optimization over time. The existing ODC interface caused unnecessary load due to constant database queries. The solution: the data is retrieved once, saved as a CSV and then processed further in Word. Tests showed that a planned REST-WebAPI would not have solved the problem, as the direct ADO-ODBC connection was faster, more stable and a perfect fit for the existing database views.

The Word add-in was equipped with intuitive VBA user forms that simplify the CRM search: Users can use a search form designed specifically for this purpose to find recipients via free text or detailed search, add them to watch lists and transfer them directly to mail merges. Thanks to the import and export function, saved recipient lists can be reused at any time. And because details often matter, the address block logic has been made smart: it now automatically recognizes whether the recipient is a company or a private individual - and adjusts the salutation etc. Other clever functions: automatic sender data entry, flexible switching between different stationery variants and legal forms as well as time-saving quick modules. All features are based on VBA programming - ideal for companies that want to have intelligent Word macros programmed.

Following the successful launch of the Word add-in, eWorks remained on board to ensure smooth operation.
