Programming an Access database for service charge billing

Simple calculation and breakdown of ancillary costs

Baugenossenschaft Passau-Spitzberg eG, the landlord of apartments in Passau, issues annual utility bills to its tenants in order to break down and settle operating costs incurred by individual tenants. eWorks was commissioned to program a Microsoft Access database in order to automate this process, avoid manual process errors and make the process more cost-efficient.

eWorks carried out the software development using Microsoft Access and VBA. Based on the data entered on apartments, tenants, tenancies and operating cost types, the service charges are calculated and displayed for each tenant. Finally, all operating costs are presented in a clear report as an Access report, which can be exported either to a PDF document or to other Microsoft Office documents (Microsoft Excel, Microsoft Word).

The completed and ready-to-use Access database was handed over to the client and accepted. Following acceptance, eWorks was available to the client to answer technical questions and to rectify any errors under warranty. In the meantime, the client successfully uses the operating cost statement to calculate service charges, thereby saving working time and costs, and provides its tenants with automatically generated and correct service charge statements.
