Outlook programming of an e-mail storage tool

Outlook development & VBA programming of Outlook macros

The janitor service Michael Schenk (Meckenheim) commissioned eWorks to develop a compact but productivity-enhancing Microsoft Outlook extension: the "SchenkOutlookTools". The objective was to support the office staff with an unobtrusive Outlook add-in for the fast and error-free saving of emails, which integrates seamlessly into Microsoft Outlook 2010, reduces processing time and makes operating errors less likely - in short: optimizes the process efficiency of an everyday routine procedure.

The software development for Outlook 2010 was carried out using VisualBasic for Applications (VBA), the user interface was integrated directly into the Outlook ribbon and linked to the VBA macros. The macros support Outlook users when saving emails by specifying the client's central network drive and the email storage format, which relieves users of the decision for storage location and storage format, reduces processing time and prevents incorrect decisions. Furthermore, the Outlook add-in automatically suggests meaningful file names including date stamps based on a defined file name nomenclature, which users only have to confirm with a mouse click: the central and error-free saving of e-mails therefore only requires 2 mouse clicks.

eWorks carried out the VBA programming of the Outlook macros, quality assured them and handed them over to the client. The Outlook solution was then installed on the relevant target systems together with the client. Following commissioning, eWorks was available to the client for technical support, troubleshooting (warranty) and possible change and enhancement requests for the Outlook tool. Since then, the client's employees have been using the Outlook add-in on a daily basis to save Outlook emails quickly and easily.
