Development of a contract manager for INSITE-Interventions GmbH

Implementation based on Microsoft SharePoint, Microsoft Power Apps and Microsoft Power Automate

On behalf of INSITE-Interventions GmbH, eWorks took over the design and development of a contract manager in March 2021. The aim was to create a central and user-friendly platform that enables structured management of contracts and contract periods while also supporting compliance with deadlines.

The contract manager was implemented as a customized SharePoint solution. It is based on a SharePoint site with individual lists for contracts, contract periods and other details. A contract can consist of one or more contract periods that define the term details. In addition, links to documents can be stored in a secure cloud storage to ensure central and protected storage of relevant contract documents.

To simplify contract management, a user-friendly form has been implemented with Microsoft Power Apps. This allows users to enter contracts quickly and conveniently and create or edit the associated contract periods directly. This reduces sources of error and increases the efficiency of data maintenance.

To ensure compliance with contract deadlines, various workflows have been created in Microsoft Power Automate that remind users of important contract and deadline dates by email. These include reminders about notice periods and notices about the end of a rental or leasing contract. In addition, a pause reminder feature was introduced to allow more flexibility in the management of contract notifications.

eWorks assisted INSITE-Interventions with the full implementation through to ongoing operations. Since completion, various enhancements have been integrated and support services provided.
