Development of a contract management system
Implementation based on Microsoft SharePoint, Microsoft Power Apps and Microsoft Power Automate
Who hasn't experienced this? Contracts are collected on the network drive, but there is no easily searchable overview. Reminders of notice periods are not automated and whether a contract is currently active, has been terminated or extended often requires time-consuming research. It was precisely from this situation that eWorks came up with the idea of creating a central, clear and user-friendly solution for digital contract management - based directly on the existing Microsoft 365 platform.
The implementation is based on familiar Microsoft 365 technologies, with SharePoint Online serving as the central data backend. A structured contract list was created here, in which all relevant contract information such as contract type, term, deadlines, responsible parties and status is stored centrally and searchable - the ideal basis for efficient contract management with Microsoft 365.
Using a modern form developed with Microsoft Power Apps, new contracts can be conveniently recorded and existing contracts can be easily edited. The form also enables the direct creation of contract periods, in which terms, deadlines and other details are clearly displayed - without the need for separate tools or Excel lists.
Power Automate provides the necessary process automation in the background. In particular, this includes automated reminders by e-mail for upcoming contract expiries and relevant notice periods. This automation significantly reduces manual effort and increases adherence to deadlines throughout the entire contract process.
This solution enables contracts to be managed centrally, efficiently and in an audit-proof manner - with full integration into the existing Microsoft 365 environment and without the use of additional third-party software. The project was successfully implemented and is already in productive use at eWorks.
